By having these 'Standard Spreadsheets' on offer to all businesses, will reduce the cost of ownership.

Accruals Register

Require a system to control your accruals for your accounts software?

At the same time as entering the accrual into your accounts system, enter the accrual into the Accruals Register along with details of the accrual period and expense (or income) account.

Enter the accrued bill into the Accruals Register when it arrives, so that it can be included in any adjustments on the period end journal.

When completing month end accounts, select the accounting period in the Accruals Register and print off the journal details for the selected accounting period.  At the same time, a accrual control account reconciliation can also be printed.

CIS Payment / Deduction Register

Require a system to record payments and deductions for SubContractors?

This spreadsheet allows you to keep details on all your SubContractors, including Verification Numbers, payments and deductions made to SubContractors.  From this data, you can produce a monthly report to complete the CIS 300 Monthly Return along with printing the required statements to send to SubContractors.

The system covers six Tax Years starting with 08 / 09.

The spreadsheet has two Modes, Normal Mode where you can only enter transactions from the current system Tax Period, and the Amend Mode, where you can add / amend Transactions to previous Tax Periods.

Currently, there are three Tax Rates used for the CIS Scheme, Gross, Standard and Higher Rates.  The system will allow for up to ten different Tax Rates at any one time, just in case.  Also the system allows for up to ten changes to any of the Tax Rates, ie, the Standard Rate is currently 20%, but could change to 22% at some point, you never know.

The spreadsheets allows for up to 100 SubContractors.  Depending on the business status of each SubContractor, various data fields appear to enter the required information.

The SubContractor information entered feeds through to the rest of the spreadsheet.

Enter all the payment details selecting the SubContractor from a dropdown list.

Columns for:

Selecting SubContractor, Tax Rate*, VAT applicable*, Payment Date, Reference, Labour amount, Materials Amount, VAT Amount**, Total Bill, Other Deductions, Tax to be Deducted*, Tax Actually Deducted, Total to be Paid*, and Total Actually Paid.

*   entered automatically fed from SubContractors details
**  entered automatically if SubContractor is VAT Registered, but can be amended if different to actual bill.

At the end of each month, a checklist page helps you through what's required to be done.

Tells you how much CIS Tax Deducted for each Tax Period to be paid.

Record Tax Payments made.

Warnings appear for adjustments that need to be made to previous returns.

When ready, a report is printed giving all the necessary information to complete your CIS Monthly Return (CIS300).

SubContractor Statements can be printed at any time, selecting a Date Range, Previous Tax Period or the Current Tax Period.

Then selecting from the list of SubContractors and type of Statement you require (Original, Duplicate or Amended), you can print a Statement.  The list of SubContractors will only include SubContractors who were paid during the selected Date Range or Tax Period.

Fixed Asset Register

Need to keep track of your Fixed Assets?  Need to work out your monthly or annual Depreciation?

Our Fixed Asset Register can handle the following:

Both Straight Line or Reducing Balance depreciation methods, select as Default System Option and override per item.

Depreciation from Month of Purchase or Beginning of Financial Year, System Option only.

Automatic or Manual assignment of Serial Numbers to Fixed Asset items (if required).

Up to 12 different Fixed Asset Categories.

Enter Account Codes / Names relating to each category for Cost, Depreciation, Sale of Assets and Write Off's.

Allocate each Fixed Asset item to a category.

Register can handle up to 500 items at any time.

Space for remarks against each item.

The Register, in Normal mode, only allows you to enter future transactions / items.

There is a 'Amend' mode which allows you to go backwards in the Register.

During each period, you can print off Disposal Journals for items disposed off during that period.

At the end of each period, Depreciation Journals can be printed out.

Two options for working out the depreciation:

Option 1 - The actual depreciation as worked out per Fixed Asset item for the period.

Option 2 - The difference between the accumulative total of all Fixed Asset items still on the books (broken down by category) and the balances on your Balance Sheet Depreciations accounts.

To support your Depreciation Journals, at the end of each period you can print out a List of Fixed Assets still on the books and included in the depreciation figures for that period.

At anytime, you can also print off a Fixed Asset Schedule (along with detailed lists of additions and disposals) for the previous financial year and the current financial year to date.  Very handy for accountants producing year end financial accounts.

Prepayments Register

Timesheets

Require to keep track on time spent doing client tasks and costs?

Select from 30 different user defined services with current charges when entering a transaction on to the timesheet.

eg, consultancy, printing, stationery, postage, etc.

Each user defined service keeps history of up to 22 price changes.

eg, on the 1st January, a service charge could be £25.00 and on the 1st April, the charge increases to £30.00.  On the timesheet entry page, the charge shown will depend on the date entered for the timesheet transaction.

The Timesheet Entry page is designed to keep a running history of all work carried out for clients.

A Timesheet Statement can be produced for selected clients for any given date range.

The spreadsheet comes in the following versions:

Up to 10 clients and up to 1,000 timesheet transactions
Up to 25 clients and up to 2,500 timesheet transactions
Up to 50 clients and up to 5,000 timesheet transactions
Up to 100 clients and up to 10,000 timesheet transactions
Higher number versions can be produced on request.
